The six steps

Two before you sign, four in the week after.

  1. 1 · Before you sign

    Intro call

Twenty minutes on your EMR, phone setup, fax, payer mix, weekly visit volume and where your admin time goes.

  2. 2 · Signing

    Agreement and BAA

The services agreement, a business associate agreement and the setup fee. Nothing in your systems is touched before all three are in.

  3. 3 · Days 1–2

    Kickoff

A short intake form and a kickoff call: your providers, systems, payers, labs and specialists. We agree the first three problems to fix — usually the inbox backlog, unreturned calls and open referrals.

  4. 4 · Days 2–5

    Access and phones

You create named logins for us, each with multi-factor sign-in. Never shared credentials. Your line forwards to our system; your number and carrier stay the same, and forwarding reverses in minutes.

  5. 5 · Days 3–5

    Your playbook

A short written playbook you sign off: what counts as urgent and how we reach you, your refill protocol, how results, referrals, prior auths and scheduling are handled.

  6. 6 · About day 7

    Go live

Midweek, never a Monday or Friday. Day one clears or triages the backlog, and anything clinical reaches you by noon. Every day ends with a summary of what is waiting on you.

The first ninety days

  1. Day 3A ten-minute check-in: what is working, what to change in the playbook.
  2. Day 5Your first weekly visit count, and a first-week report: backlog cleared, calls handled, referrals sent.
  3. Through day 30A fifteen-minute check-in every week, then every two weeks after.
  4. Day 30Your first monthly report, and the playbook adjusted to what we have learned.
  5. Day 90A review before the minimum term ends: hours saved, calls handled, website results.

Running alongside

Neither of these holds up go-live.

  • Your website, in the first month

Week one we gather your logo, bios, services, insurances and booking link. Drafts follow in week two, one round of revisions and your Google Business Profile in week three, and launch in week four.

  • In-home draws, set up

We add your practice to the ordering workflow: how orders are sent, which reference lab you use, and where results go.
